Refund & cancellation
This policy covers professional service engagements with Deploy Nodehub Co., Ltd.—workshops, assessments, dashboard builds, and reporting retainers.
Eligibility
Refunds apply to fees paid directly to Deploy Nodehub for cancelled or adjusted engagements as described below. Website content is free; there are no product shipments.
Timeframe to request
Submit refund or cancellation requests in writing to hello@deploy-nodehub.digital within 14 days of the triggering event (cancellation confirmation, missed kickoff, or disputed invoice), unless your statement of work sets a different window.
Full refunds
A full refund of prepaid fees is available if we cancel an engagement for reasons within our control before work begins, or if a workshop is cancelled by us and no mutually acceptable new date is found within 30 days.
Partial refunds
If you cancel after kickoff, we invoice for completed milestones (for example discovery completed, workshop delivered, dashboard partially built) and refund unused prepaid amounts. Time already spent on analysis, workshops, or configuration is non-refundable.
Non-refundable items
- Completed workshop sessions and delivered written findings
- Dashboard build work already accepted in a milestone review
- Monthly retainer periods that have started
- Third-party costs expressly approved by you (for example paid venue hire for an on-site workshop)
Deposits
Projects above a stated threshold may require a deposit to reserve calendar time. Deposits are credited to the final invoice. They become non-refundable once scheduled kickoff is within seven days, except when we cancel.
Cancellation & rescheduling
You may reschedule a workshop once without fee if you give at least five business days’ notice. Later changes may incur a rescheduling fee of up to 20% of the workshop fee. Retainer cancellations take effect at the end of the current paid month after written notice.
No-shows
If key client participants miss a confirmed workshop without timely notice, the session may be marked delivered and charged. We will offer one courtesy reschedule when the delay is caused by documented emergencies.
Work already started
For multi-week dashboard engagements, completed phases remain billable. Source files and access credentials for unfinished phases are handled per the statement of work.
Refund process & timing
Approved refunds are processed to the original payment method within 14 business days of approval. Bank transfer refunds in Thailand may require matching account details for verification.
